Special Education Records
If you would like to request Special Education Records from any school in Cheney School District,
please submit your request via:

*NOTE: Cheney School District uses the IEP Online (IOL) platform. If you are an IOL district, you may also request records through the IDT process.
All requests must include:
- Student’s full legal name (no nicknames) while attending our schools
- Student’s date of birth
- Contact information of requestor: name, phone, fax, email, and should include what specific records are bring requested
- Outside agency request must be on letterhead with agency and requestor contact information, and must also include a signed release from the student if 18 years of age or older or from the parent/guardian if under 18 years of age.
How will the district provide records to me?
Records will be provided electronically unless requested in a different format by the requestor. Where small enough, the district will provide records via mail. And when picking up records in person please present photo identification.

Public Notice of Destruction of Special Education Records
Notice is hereby given that the Cheney Public Schools (the “District”) intends to destroy the special education records of students who were born on or before December 31, 1997 and have separated from all special education programs in the District.
In accordance with WAC 392-172A-05235 and the Washington State Public Schools (K-12) Records Retention Schedule (December 2025), the maintaining of records relating to an individual student’s eligibility and enrollment in a special education program is only required for six (6) years after the student’s separation from the program, and thereafter will be destroyed. These records include, but are not limited to, psychological and IQ test results, eligibility decision documentation, evaluation and other reports, Individualized Education Programs, and related correspondence/communications. After six years, these records are no longer useful to the District, but they may be needed by students or parents/guardians to establish eligibility for certain adult benefits, e.g., social security, and parents/guardians or adult students should ensure that they possess the necessary documentation, or request copies of certain records from the District before they are destroyed.
These records will be destroyed unless the adult student (18 years old) or legal guardian notifies the District otherwise on or before July 1, 2026. Appropriate requestors may obtain a copy of these records, with proof of identification, in writing or in person at the following address:

If no student or legal guardian responds to this public notice, the District will assume consent to destroy these records after July 1, 2026.

Destruction of Special Educational records.

Each school district shall inform parents and adult students when personally identifiable information collected, maintained, or used in compliance with this chapter is no longer needed to provide educational services to the student, or is no longer required to be retained under state or federal law. State procedures for school district records retention are published by the Secretary of State, Division of Archives and Records Management, and specify the length of time that education records must be retained.

The information shall thereafter be destroyed at the request of the parent or adult student. However, a permanent record of a student's name, address, and phone number, his or her grades, attendance record, classes attended, grade level completed and year completed may be maintained without time limitation.
